End-to-End Records Compliance Management (RCM)

As the volume and types of electronic records increase, and the requirements for retaining, managing and destroying those records grow ever more complex, organizations need a way to manage their electronic records to satisfy their business, legal and compliance requirements.

End-to-End Records Compliance Management defines the management of electronic records throughout their lifecycle to satisfy regulatory, governance, privacy and discovery requirements. Electronic records from disparate systems are automatically and/or manually captured, classified and indexed according to organization-defined policies, stored in a centralized archive on tamperproof storage, retained for specific periods based on policies, automatically and securely destroyed at the end of those periods. The entire process is fully auditable via a chain of custody.

End-to-end records compliance management operates on five basic principles:

  1. All records, regardless of format or originating system, are readily available to the appropriate people when and where they need them

  2. Records are proactively managed throughout their lifecycle, from initial capture to final destruction, according to policies and procedures established by the organization as well as by industry and government regulations

  3. Records are secured and preserved in their original format on tamperproof storage

  4. Every record has an audit trail to establish a full process chain of custody so the record is considered trustworthy in a court of law

  5. Records are destroyed as soon as their usefulness expires to reduce operational costs and eliminate potential liabilities
