E-mail Archiving for Regulatory Compliance
For organizations who must retain e-mail for specific periods to satisfy regulatory requirements, all or selected e-mails (inbound, outbound and internally delivered) for specific users can be automatically copied from the JMS server and archived before the messages are delivered to a recipient's mailbox. An irrefutable copy of the e-mail is captured and stored within the archive and an auditable chain of custody maintained for every message and attachment. Extensive search and legal discovery capabilities are integrated within the overall platform capabilities. Retention rules (based on regulations and/or corporate policy) are applied to all e-mails either automatically or manually (depending on corporate policy), determining how and for how long they are retained and when and how they are destroyed. Individual e-mails selected for a discovery order can automatically be put on retention hold to avoid spoliation and normal retention schedules can be suspended in the event of actual or pending litigation. Full-text indexing is applied to all archived e-mail, enabling it to be searched and retrieved in context. Patent-pending search technology and an interface optimized for non-IT staff like legal counsel provides fast and accurate search capabilities. An auditable chain of custody for every e-mail is preserved throughout the e-mail's lifecycle (from initial capture through final destruction), ensuring complete fidelity.
