Operational efficiencies are achieved by automatically moving email and attachments from the Notes mail servers to a managed, robust archive, reducing storage, server infrastructure and associated support costs. email is automatically moved and archived based on policy, either by journaling a copy of every email, or by capturing it from the end-user’s mailbox based on date or size of message. Full off-line/laptop support is provided to ensure that mobile users are included. Savings are also achieved by applying single instance storage to all messages and attachments. Notes email is archived with other record types (including Instant Messages, desktop documents, output from ERP systems, reports from legacy systems) providing a knowledge pool for search and retrieving messages in context to other archived records.

Retention rules (based on regulations and/or corporate policy) are applied to all emails either automatically or manually (depending on corporate policy), determining how and how long they are retained and when and how they are destroyed. Individual emails selected for a discovery order can be automatically put on retention hold to avoid spoliation and normal retention schedules can be suspended in the event of actual or pending litigation. Full-text indexing is applied to all archived email, enabling it to be searched and retrieved in context. Patent-pending search technology and an interface optimized for non-IT staff like legal counsel provides fast and accurate search capabilities. An auditable chain of custody for every email is preserved throughout the email’s lifecycle (from initial capture through final destruction), ensuring complete fidelity. Organizations can even mitigate the risks of electronic messaging including contractual lawsuits, sexual harassment claims, exposure of confidential information and infringement of regulations like NASD 3010 with AXS-One Supervision.
